Salary: $3,000 - $3,300 (Subject to 1 month Performance Bonus)

KEY ROLES AND RESPONSIBILITIES
Office Administration
- Responsible, ensuring and providing reception services professionally (attending to visitors, call), ensuring the front desk in optimal condition.
- To oversee and ensure maintenance of office equipment are carried out as scheduled and standards are adhered to. e.g., routine walkaround the office to ensure meeting room, facilities in the office are clean, functional.
- Providing admin support and assistance to the business operation e.g., mail collection and distribution, assist in coordinating of executive lunches, meeting, company events or townhall, booking of meeting room if required
- Responsible for Courier arrangement (Local & overseas) and ordering of name card if required
- Double up/Covering when Office Manager is not around
Assistance to HR/Workplace
- Offboarding check list e.g. collection of IT devices, office access card and resetting the locker to 0000 on staff's last day
- Seat reservation via Freespace - book the seats for new Hires and visitors if required
- Access Card i.e. application of My Print access for staff through Service Desk, learning usage of Ccure System etc
Supporting Marketing Team
- Keeping & updating inventory stock of corporate gifts, packing and courier if required
- Sending banners/marketing materials to local and overseas venues if applicable,
- Upkeeping and maintaining cleanliness of marketing room.
Vendor Management
- Liaise with Vendors for maintenance/repair work such as Multico for Hydro taps, Value Plus, Coffee machine
- Liaise and assist vendors regarding the online ad hoc work PTW permit from CapitaLand as and when required.
- Inform Vendor our Purchase Order for each year through email and assist Finance in case of vendors chasing for outstanding payment.
- Booking of meeting room or Collection/Delivery of IT equipment.
- Ordering of Printer Toner, waste container under Ricoh
- Ad hoc admin request
Other duties
- Filing of claims (Travel & Expenses) for assigned staff in a timely manner
- Responsible for management of off-site storage services; arranging of collection of destructive bin, arranging of archiving & retrieving docs from Iron Mountain
- Assist in Fire Drill act as a fire warden for staff registration, duties etc.
- Responsible for updating of office list i.e. Staff Phone List, Distribution List, Roster & Office attendance list, Vendor list, Staff Locker list, etc.
- Sourcing of hosts for bi-monthly Virtual and Face to Face Underwriting Meetings & send calendar invite with the latest agenda flow. e.g., book the Staff Pantry and arrange morning snacks.
- Other ad hoc duties as advised by Office Manager/Workplace Team
