Responsibilities:
- Provide full admin support to the Project Manager and Project Team to ensure the smooth running of the department operations.
- Prepare and distribute incoming/outgoing correspondence to the team.
- Prepare documents submissions to LTA.
- Preparation of Monthly Progress Minutes to be sent to the client.
- Maintain records for the operations and project team such as correspondence, reports, and files.
- Develop and maintain document control processes for the project and efficient management.
- Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents for the project team.
- Documentation Management.
- Ensuring safe keeping of project documents both online and physical.
- Preparation of claims of the team.
- Support the project team in daily admin roles.
- Coordinate and arrange travel arrangements inclusive of air-ticket, hotel accommodation, visa arrangements, claims etc.
- Prepare and raise purchase requisition for purchase of office equipment.
- Follow-up on material delivery and logistics.
- Prepare monthly timesheets and expense reports if requested by PM(s).
- Undertake any ad-hoc admin projects/duties as required.
Requirements:
- Min 1-2 years relevant experience in a similar role.
- Experience with LTA is desirable.
- Good knowledge and experience in making organizing travel arrangements and visa application/embassy requirements etc.
- Professional and pleasant personality with good written and verbal communication and interpersonal skills.
- Proactive, take initiative and well organized.
- Able to work fast under pressure and meet deadlines.
- Able to work long hours when necessary, depending on project phase.
- Attention to detail and highly resourceful.
- Ability to work with all levels receiving minimum detailed supervision and guidance.
