Job Summary: The incumbent will provide administrative and operational support for staff's travel arrangements, Flight booking and other administrative functions

Job Scope:
Administrative and Secretarial Support

  • Organize, file, and retrieve documents from electronic repositories.
  • Review and standardize the formatting of reports and presentation materials.
  • Prepare procurement documents and liaise with vendors regarding new requisitions, contract renewals, work arrangements, and payments of their services.
  • Handle daily correspondence including emails and official letters, related to missions and operational matters.
  • Provide timely updates to the country mission's schedule.

Coordination and Logistical Support

  • Provide administrative and logistical support to the teams for overseas business trips, including coordinating with internal stakeholders and overseas counterparts, and managing the Country team's meeting schedule.
  • Organize events such as seminars, workshops, conferences, and roundtables for the teams, including coordinating the schedule and logistics, material production, and virtual/venue set-up, in collaboration with other departments.
  • Organize internal and external meetings, including venue and/or virtual setup, liaising with meeting participants, and disseminating materials.
  • Support the Country Surveillance teams in meeting preparation, including keeping records of meeting attendance, maintaining contact databases, and preparing meeting minutes.
  • Any other administrative tasks as directed by supervisors

Requirements:

  • Minimum Polytechnic diploma or NITEC qualification with minimum of 5-years relevant experience. Previous experience with a multilateral/bilateral organization or government agency is good to have.
  • Good interpersonal skills, the ability to work both independently and in close collaboration with other team members, and the ability to interact with the member-country authorities with tact and diplomacy.
  • Good multi-tasking skills and the ability to prioritize and respond to a variety of requests quickly and accurately. The candidate must be self-driven and able to manage urgent day-to-day responsibilities; results oriented and accountable for the accuracy of information.
  • Demonstrated initiative and ability to spot areas for improvement and follow through with the necessary process enhancements.
  • Proficiency in Microsoft Office/ Microsoft 365, including Outlook, MS Teams, SharePoint, workflow systems, Word, Excel, and PowerPoint. Familiarity with Adobe tools (e.g., Acrobat) is a big plus.

  • Contract duration: 6-month contract, maternity coverage
  • Commencement Date: end May or early Jun
  • Working days and hours: Mon - Fri: 9am to 6pm
  • Location: MAS Building, CBD
