- Accountable for financial budgeting across the region to accuracy in forecasting and spend
- Implement invoices tracking system
- Act as "chief of staff" on business analytic, preparation of presentation deck and white paper
- Responsible to support lease activities and facilities management in the region
- Perform Business Analytics for IJCI region to identify SWOT analysis with reasonable recommendation on path forward
- Ensure all Gilead ICJI region and Company data/documentation is up to date and accurate
- Develop an annual plan for the implementation of yearly objectives and a 3 year financial forecast; annual procurement programme aligned to the Facilities Master Plan
- Manage Leasehold Improvement, Churn, Facilities and Operational Excellence projects as required
- Undertake regular technical reviews of M&E and EHS & Security.
Performance - Ensure that the Masterplan and data in Centre stone remains accurate
- Contribute to the setting, organising and prioritising of goals and objectives for the whole of the IJCI region, undertaking written performance reviews and implementing training/development plans for all direct reports.
Compliance in Singapore Office - Manage compliance of Buildings and EH&S and Security, company policy for procurement and local law and regulations
- Supervise the facilities service providers to mitigate the potential risks associated with Facilities and Operations
Finance - Maintain and manage the F&O budgets and consolidation for the sub-region and region
- Produce LE's in line with the Jun/Sept timetable.
Occupancy - Engage regularly with HR and GM departments to review headcount plans across IJCI region and accuracy in reporting
- Support design stacking plan and work with site leads to ensure accurate seating allocation.
Business Partnering - Engage with GM for Commercial Operations to explain the full F&O proposition
CIP - Identify and assist developing and implementing procedures and processes, promoting a consistent approach to Facilities management.
Work Location - Raffles Place
Working Day & Hour- : Mondays to Fridays, 9am to 6pm (hybrid)
Contract duration: 6 months contract. Based on the performance the contract may extend to 1-2 years.
Tentative commencement date: May 2025
Education & Require experience- Relevant University degree and a minimum of 5 years progressive experience
- Experience in budgeting, invoicing and spend analytic
- Exceptional capability in making presentation deck for senior stakeholders
- Experience of managing capital and relocation projects, ensuring EH&S compliance
- Experience of managing Facilities at multiple sites in a corporate environment
