Responsibilities:
- Manage security door access, including the creation and deletion of access card user profiles, and provide after-hours door access support.
- Handle incoming and outgoing mail, packages, deliveries, document circulation, and visitor reception.
- Oversee and maintain overall office operations, ensuring a clean and comfortable workspace.
- Manage office supplies, office equipment, and pantry supplies, ensuring adequate stock levels.
- Oversee facilities services and maintenance activities to ensure a well-functioning office environment.
- Coordinate with vendors, contractors, and service providers to ensure seamless office operations.
- Manage business trips, including hotel bookings, temporary accommodations, and the visa/work permits application process.
- Organize and coordinate office activities such as meetings, event planning, and town hall bookings.
Qualifications:
- Diploma or Degree holder in Business Administration, Office Management, or related field.
- At least 3 years of proven experience as an Office Administrator in a multinational corporation (MNC) with 500+ employees.
- Experience in office facilities management and a deep understanding of office management procedures and policies.
- Highly proficient in Microsoft Office, including Excel (formulas such as VLOOKUP, IF formulas, pivot tables), PowerPoint, Word, and Outlook.
- Excellent organizational and multitasking abilities.
- Excellent communication skills and a high level of attention to detail.
