Office Executive, Contract, Raffles Place

The Office Executive will be responsible for addressing office administrative and operational needs, including providing support to the APAC HR team and the APAC MD, with a great opportunity to develop in the operations world.
Key Responsibilities:
- Full admin responsibility for all office needs, office maintenance and appearance.
- Administrative assistant to APAC MD includes hotels/flights booking.
- Coordinate on IT related tasks such as server issues, printer issues, equipment/accessories requests.
- Focal point to Gateway Management - carpark renewal, point of contact for all premises matters.
- Carry out events, social welfare and employee experience activities for all APAC.
- Manage and coordinate on office supplies and vendors.
- Coordinate office maintenance and repairs, liaise with building management, and oversee office equipment, ensuring everything is in good working order.
- Role model to the office in creating positive working environment.
- Oversee and maintain functioning of security systems and software (access control, CCTV), manage employees access cards.
- Manage office budgets, process invoices, and expenses, and ensure that financial records are accurate and up to date.
- Manage new hires set up and leavers arrangement, including but not limited to equipment preparation and return, insurance registration and cancellation, business cards, and work desk arrangement.
- Attend to incoming calls and visitors to Singapore office.
- Regularly check pantry and stationery supplies to determine what need to be restocked
- Ensure that appliances such as coffee machines, microwaves, and refrigerators are in good working condition.
- Support other offices in the APAC region - placing purchase orders, inventory management, working with suppliers and service providers.
Qualifications: - At least 2-3 years' experience as Administrative Executive /Office Manager in small medium organizations
- Experience working with all levels
- Proven track record for excellent employee service
- Excellent written and verbal communication skills
- Excellent time management skills
- Ability to multitask and prioritize work
- Able to complete complex administrative tasks with minimal supervision
- Ability to positively engage with both internal and external stakeholders
- Team player
- Excellent interpersonal skills
- Proficient in Microsoft Office
- Experience working in a global environment
